Following is a list of key policies and procedures enforced at the American Geriatrics Society Annual Scientific Meeting.
Name Badge
For your safety and security, all attendees, exhibitors, staff and suppliers are required to wear their name badge to have access to the AGS Annual Meeting.
Admission to Pre-Conference Sessions
If you purchased a ticket for an additional fee pre-conference session, the ticket was included with your name badge. Tickets for sessions that are not sold out can be purchased at the registration desk. Only attendees holding tickets for these sessions will be admitted.
Nursing Mothers Room
If you are a nursing mother, you are welcome to nurse wherever you feel comfortable. If you are looking for a more private space to nurse or pump, you can use AGS’ private Lactation Room.
Children
- Education Sessions: Because of the professional nature of the program, children are not allowed in education sessions since they may distract the speakers and other attendees.
- Exhibit Hall: For safety reasons, children are not permitted in the exhibit hall or poster halls.
Messages
Messages for meeting attendees may be posted on the bulletin board in the meeting registration area. Incoming messages for attendees that are received at the meeting registration desk will also be posted here.
Photography Policy
A professional photographer and/or videographer may be present at the AGS Annual Meeting. By registering for the meeting, you understand that your image may appear in photographs and/or videos and grant AGS and their representatives and employees the right to take photographs and/or videos of you and your property in connection with the above-identified event as well as to copyright, use, and publish the same pictures in print and/or electronically. You agree that AGS may use such photographs and/or videos of you with or without your name and for any lawful purpose, including publicity, illustration, advertising, and Web content, without your express written or verbal permission.
Special Needs Accommodations
The AGS wishes to take steps to ensure that no individual with a disability is excluded, denied services, segregated or otherwise treated differently than other individuals because of the absence of auxiliary aids or services. If you need any auxiliary aids or services identified in the Americans with Disabilities Act, please contact the AGS at 212-308-1414, or email your written request to: info@americangeriatrics.org. Unless advised with adequate notice prior to the meeting of any special requirements due to disability, the AGS cannot guarantee that the requested services or equipment will be available.
Smoking Policy
Smoking is not permitted at any AGS function.
Cancellation/ Refund Policy
Cancellation of registrations must be received in writing no later than Friday April 28, 2023. No refunds will be issued after Friday April 28 for cancellations or no-shows. Substitutions are permitted if requested in writing. Please send cancellation or substitution requests by email to AGS@showcare.com or by fax to 1-514-289-9844. Refunds will be issued no sooner than 45 days following the meeting and are subject to the following processing fees:
On or before February 28, 2023: $50 processing fee
March 1 - April 28, 2023: $250 processing fee
After April 28, 2023: No refunds will be issued
FLEXIBLE REGISTRATION – SEAMLESSLY SWITCH FROM IN-PERSON TO ON-DEMAND
If you select the in-person option, you have the flexibility to switch your registration to the On-Demand option at any time leading up to the annual meeting.
